If you’ve ever dealt with a heating or cooling failure during a busy workday—or worse, during a freezing New England winter—you already know the stress and expense it can cause. From disrupted operations to emergency service calls and system damage, mechanical issues don’t just create inconvenience—they cost you time, money, and trust.

At Harold Brothers, we’ve spent decades helping facility managers and business owners across Massachusetts, Rhode Island, and Southern New Hampshire stay ahead of those problems. Our team specializes in preventative maintenance that reduces emergency calls, extends equipment life, and keeps your systems running safely and efficiently.

Let’s take a closer look at what’s included in a Harold Brothers preventative maintenance contract, what isn’t, and how it helps your building stay reliable, compliant, and cost-effective year-round.

What Is a Commercial HVAC Preventative Maintenance Contract?Person signing contract

A preventative maintenance contract is a service agreement that ensures your mechanical systems—like HVAC units, boilers, and chillers—are routinely inspected, cleaned, and adjusted to maintain peak performance. You catch and correct small problems before they become expensive emergencies.

Think of it like taking your car in for regular oil changes. It’s a small investment that protects you from major breakdowns down the road. With a preventative maintenance contract, this approach is applied to your entire HVAC system.

What’s Included in a Harold Brothers Commercial HVAC Maintenance Contract?

Every contract is customized to your equipment, facility size, and operating schedule—but here’s what you can typically expect:

Scheduled System Inspections

Most clients receive two service visits per year, but we adjust frequency based on system demand and building complexity.

Our technicians conduct comprehensive walkthroughs, checking all major systems, including:

  • Rooftop Units (RTUs)

  • Boilers and Chillers

  • Air Handling Units (AHUs)

  • Energy Recovery Ventilators (ERVs)

  • Exhaust Fans and Fan Coil Units

  • VAV Boxes, Mini-Splits, and Cabinet Heaters

Deep Equipment Checks and Cleaning

Each visit includes a deep inspection, not just a surface check.

That means that technicians will come out and:

  • Clean coils and flush the drain pans

  • Replace filters and belts

  • Inspect and test electrical connections

  • Verify safety controls and calibrate thermostats

  • Log amperage and test motor function

After every visit, you’ll receive a written checklist and service report, so you know what’s working—and what’s not.

What’s Not Always Included, But Can Be Added

While our preventative maintenance contracts cover a wide range of routine services, certain items fall outside the standard agreement to help keep your plan focused and cost-effective.

Services such as after-hours emergency response, major equipment repairs, and software updates, including automatic temperature control (ATC) recalibrations, are not included by default. However, all of these services are available upon request and can be quoted separately.

We prioritize transparency, so you’ll always receive a recommendation, explanation, and price before any additional work is performed—no unexpected charges, ever.

Why Preventative HVAC Maintenance Matters for Commercial Buildings

Most HVAC failures start as something small—a dirty filter, loose wire, or worn-out belt. Catching issues early keeps your systems running and your teams focused.

  1. Fewer Emergency Repairs
Small issues like loose wires, dirty filters, or worn belts might seem harmless at first, but if left unchecked, they often lead to system failures. Routine maintenance allows us to catch and fix these problems before they turn into emergencies.

  2. Longer Equipment Lifespan
Just like regular oil changes help your car last longer, scheduled inspections and tune-ups help your HVAC and plumbing systems run better for longer. That means fewer replacements and more value from your original investment.

  3. Better Energy Efficiency
Clean coils, well-calibrated thermostats, and smooth-running motors all work together to reduce energy consumption. That helps lower your monthly utility bills while improving overall performance.

  4. Regulatory Compliance
If you manage a school, healthcare facility, or public-facing business, you know how important it is to meet safety standards and code requirements. Our maintenance reports help you stay organized and inspection-ready.

  5. Peace of Mind
You’re not just reacting to problems—you’re staying ahead of them. You’ll know that your systems are being looked after by experienced professionals who understand the equipment and care about your business.

Preventative maintenance isn’t just about taking care of your systems—it’s about taking care of everything those systems support: your people, your productivity, and your reputation.
